1000595837 Ontario Inc. o/a Inlabs operates RunPayroll and is the organization accountable for personal information handled through it. We collect some information for our own purposes: accounts, billing, support, security, and the website. Business customers also submit and manage workforce information about their employees and contractors. For that workforce information, the customer remains responsible for its payroll and employment decisions and for having the authority to provide it to us; we handle it in order to deliver the subscribed services. This policy explains what we collect, why, and your choices.

Counsel Confirm the role framing: we act on our own behalf for account, billing, support, and website data, and as a service provider for customer-submitted workforce data (research report, gap analysis). Under the GDPR that maps to controller and processor respectively.

Information we collect

  • Account information for the people who use RunPayroll: name, work email, and role.
  • Payroll information for the workers you pay: name, address, Social Insurance Number, pay, hours, deductions, and year-to-date totals.
  • Billing information, handled by our payment processor. We do not store full card numbers.
  • Usage and device information needed to operate and secure the Service.

How we use it

We use this information to run payroll calculations, generate payslips and year-end documents, deliver the Service, provide support, bill for paid plans, and meet our own legal obligations. We do not sell personal information.

Sensitive data and security

Payroll involves sensitive identifiers such as the Social Insurance Number. We encrypt this data, restrict access, and keep an audit trail of access and changes.

Confirm State the encryption and residency posture precisely: field-level encryption of identifiers, and Canadian data residency for stored records and backups.

Service providers

We use a small set of providers under agreement, including:

  • Payments: our card processor, for billing.
  • Hosting and compute, for running the application.
  • Email delivery, for account and payslip notifications.
  • File storage, for documents such as payslips and year-end forms.
Counsel Name each subprocessor exactly (for example the payment, hosting, email, storage, and key-management vendors) so the descriptions are specific, per the SOP.

Your rights

You may ask to access, correct, or delete personal information, subject to our need to keep certain payroll records for the periods the law requires. For account, billing, support, and website information, contact us directly at privacy@runpayroll.ca. For payroll records that your employer or its payroll firm submitted, ask them first: they control those records, and we assist them as our agreement with them requires.

Quebec and international users

For individuals in Quebec, we handle personal information in line with Quebec's Law 25. Where that law applies, you may also request computerized personal information collected from you in a structured, commonly used technological format. For individuals in the European Union, additional rights under the GDPR may apply.

Counsel Both Quebec (Law 25) and EU (GDPR) are in scope. Confirm the specific disclosures, legal bases, and any representative or transfer language required.

Retention

We keep payroll records for the periods Canadian law requires, and other information only as long as needed for the purposes above.
